Once a month, check your books against the sales channel's statement, so a missing order, a fee typed wrong or a payout not recorded is found while it is fresh. It takes a few minutes for a month with no surprises.
- Open the month's statement from your sales channel: on eBay, from the Payments tab in Seller Hub.
- Open Finances, then Reconciliation. It opens on last month. Use Previous month and Next month to move.
- Type the statement's net proceeds for the month beside what your books expect.
- Type the funds the statement shows on the month's last day: available, processing and on hold together.
- Read the differences. Where a figure differs, open each likely cause: an order with no fee typed, an adjustment missing or in the wrong month, a payout not recorded. Put each right where it lives; the expected figures follow.
- Save reconciliation with a note of what you found.
- Lock this period once the month is reconciled and, if you report VAT, once its return is filed. Nothing dated in it can change after that, unless the Lock date is moved back.
If it will not agree
Reconcile the earliest month first: a difference carries into every month after it. A refund the statement counts in another month makes both months differ by the refund. If you cannot find it, save the month with the difference and its note, and it stays not reconciled until you come back.
